Privacy Policy

1. Who we are

ReachRadiance ("ReachRadiance", "we", "us", "our") is a team of Book Opportunity Specialists. We help authors make their books visible to readers across four discovery platforms: Amazon, digital libraries, AI and Google search, and reading communities.

This Privacy Policy explains what personal information we collect, why we collect it, how we use and protect it, and the choices and rights you have. It applies to our website, [website address], to our visibility assessments and packages, and to any emails or messages you exchange with us.

Information collected automatically

When you visit our website, we and our service providers may collect basic technical information: your IP address, browser and device type, pages visited, time spent on the site and the page that referred you. We use this to keep the site working, secure and easy to use. See section 7 on cookies.

Information from public sources

To research your book, we review publicly available information about it, such as your book listings, reviews, categories, search results and how AI tools and search engines describe it. This research is about your book's visibility, not about you personally.

3. How we use your information

We use your information to:

  • Prepare and send your visibility assessment
  • Research your book and write your research report
  • Carry out the visibility work in the package you choose
  • Send you reports, updates, invoices and payment reminders
  • Reply to your questions and requests
  • Keep records of the work we do, including the Master Changes Report
  • Improve our website and services
  • Protect our website, our business and our clients against fraud and misuse
  • Meet our legal, tax and accounting obligations

We will only send you marketing emails if you have agreed to receive them. Every marketing email includes a link to unsubscribe.

Our legal reasons for using your information. Where privacy laws such as the GDPR or UK GDPR apply, we rely on:

  • Contract: to deliver the assessment and package you asked for
  • Legitimate interests: to run, secure and improve our business, where this doesn't override your rights
  • Consent: for marketing emails, optional cookies and testimonials. You can withdraw consent at any time.
  • Legal obligation: to keep financial and tax records

4. How our service and payments work

Every ReachRadiance package is delivered in two phases, and the package price is paid in two equal halves.

PhaseWhat happensWhat you receivePayment
Phase 1: Research and DocumentationWe research your book across the four discovery platforms and document every findingA full research reportFirst half (50%) of the package price, once Phase 1 is complete
Phase 2: ImplementationWe use the findings to fix your book's visibility issues across the platforms in your packageThe completed work and a Master Changes ReportSecond half (50%), once Phase 2 is complete

We agree the package, price and timeline with you in writing before any work begins. Phase 2 starts after the first payment is received. [Add your late-payment and refund terms.]

How we handle payment information. Payments are processed by [payment provider, for example Stripe, PayPal or bank transfer]. We do not see or store your full card or bank account numbers; the payment provider handles them under its own privacy policy and security standards. We keep only what we need for our records: your name, the amount, the date, the package and the invoice number.

5. Account access, your book and confidentiality

Account access. To carry out Phase 2, we may need access to accounts such as Amazon KDP, Author Central, Goodreads or your author website. Wherever a platform allows it, we ask you to add us as a team member or collaborator rather than share your password. If you do share login details:

  • We use them only to make the changes agreed for your package
  • We store them securely and never share them
  • We delete them when the project is finished
  • We recommend you change your password once our work is complete

We never change your payment, royalty or bank settings on any platform.

Your book. Your book and your words belong to you. We never change the text of your book, and we never copy, publish or share your manuscript or unpublished material.

Your reports. Your research report, Master Changes Report and Reader Language Summary are prepared for you. We don't share them with anyone else. We may use anonymised, general findings to improve our research methods, but never in a way that identifies you or your book.

Testimonials. We only publish your name, words, book title or cover with your written permission. You can ask us to remove a testimonial at any time.

6. Who we share your information with

We never sell or rent your personal information. We share it only when needed to deliver our services:

  • Service providers that help us run our business, such as website hosting, form and database storage, email, file storage, payment processing and analytics. [List your providers, for example Lovable, Supabase, Google Workspace, Stripe.] They may use your information only to provide their service to us.
  • Book platforms such as Amazon, library distributors, Goodreads and review sites, when we update your book's listings or make submissions you agreed to as part of your package.
  • Legal and safety reasons: when the law requires it, or to protect our rights, our clients or the public.
  • Business changes: if ReachRadiance is merged, sold or restructured, your information may transfer to the new owner, who must keep protecting it under this policy.

7. Cookies

No method of sending or storing data online is completely secure, so we can't guarantee absolute security. If a data breach affects your personal information, we will notify you and the relevant authorities where the law requires.

10. International transfers

We work with authors around the world, and our team and service providers may be in different countries from you. When your information moves across borders, we take steps to protect it, such as using providers with recognised safeguards like standard contractual clauses.

11. Your rights

Depending on where you live, you may have the right to:

  • Ask for a copy of the personal information we hold about you
  • Ask us to correct information that is wrong or incomplete
  • Ask us to delete your information

Our services are for adults. We don't knowingly collect personal information from anyone under 18. If you believe a child has sent us their information, contact us and we'll delete it.

13. Links to other websites
